Check processes or objects
When a process or object is ready for release, designated approvers must review the content to ensure accuracy and compliance. Approvers are notified via email, and pending tasks are centralized within Process Designer.
Before you can take action on a pending release, ensure you have the necessary permissions and access rights.
You must be assigned as an approver for the specific process or object.
Access to the TASKBOARD in the Process Designer.
Follow these steps to locate, evaluate, and finalize the status of a process or object.
Locate the Task: Start by accessing your pending worklist through the automated notification or the platform home screen.
Open the link provided in your notification email, OR
Navigate to HOME > My Tasks in the Process Designer.
The header at the top of the screen will display the total number of pending tasks.
Review the Details: Perform a thorough check of the process content and metadata to ensure it meets your department's standards.
Select the task from the TASKBOARD.
Review the Detail Content pane on the right for task information, including the creator and creation date.
Click the link in the Release information section to open the process/object directly for a detailed technical review.
Take Action: Once your review is complete, choose the appropriate workflow action to move the task forward.
In the TASKBOARD, select one of the following options:

Accept
The status changes to Released. It becomes Valid on the defined start date (or automatically after two weeks).
Reject
You must enter a comment. The status resets to In process, and the author is notified.
Delegate
Assign the decision to another person.
Understanding how status changes affect visibility is crucial for maintaining an accurate version history.
Released to Valid: If a "start of validity" date was previously defined, the process becomes Valid on that date. If no date was set, it defaults to two weeks after the release.
Version Control: Once a new version becomes Valid, all previous versions are automatically updated to Expired.
Note
Rejection acts as a reset; the item is removed from your Taskboard and will only reappear if the author submits a corrected version for a new release request.
