Managing your user profile

Your user profile dictates how you interact with the Celonis Platform and how your data actions are audited. Properly configuring these settings ensures data alignment across global teams, compliance with accessibility standards, and secure automated connections.

To manage your user profile, click your profile on the navigation bar and then click Edit Profile:

Note

If your organization utilizes an external Identity Provider (IDP) like Okta or Azure AD for Single Sign-On (SSO), fields such as email, display name, and password are automatically managed by your corporate IT infrastructure and will appear grayed out.

  • Updating Personal Details: Click Edit personal details to update your profile image, email address, and display name. This ensures your actions are accurately attributed in system change logs, process comments, and shared analysis views.

  • Changing your password: Update your account credentials to maintain personal security compliance. If your team does not use SSO, enforce regular credential rotation here. For forgotten passwords, utilize the secure reset link on the main login page.

  • Time zone and language: Select your operational time zone and language. Because Celonis analyzes process timestamps, aligning your time zone ensures that the event logs, process flows, and delta times you view match your local operational hours, preventing cross-border data confusion.

  • On-screen notification duration: Choose how long UI toast notifications remain visible (e.g., 5 seconds, 50 seconds, or Dismiss manually). High-frequency users should optimize this setting to reduce on-screen clutter while ensuring business-critical alerts aren't missed.

  • Enable notifications and notification time: Define the exact hours you are available to receive system alerts (e.g., data ingestion success or analysis updates). Customizing this window protects your focus hours while ensuring critical data pipeline errors are surfaced during your active shifts.

  • Theme preset: Select the color theme used in your Celonis Platform environment:

    • System: Uses the browser preferred theme settings.

    • Light (default): Classic, clean light-themed interface.

    • Dark: Optimized for data analysts working long sessions in low-light environments to reduce eye strain.

    • High Contrast: Designed for maximum readability to meet organizational accessibility and compliance standards.

    Note

    These products don't support themes: Analysis, Action Flows, Advanced Views, Simulation Asset, Transformation Center, Forms, and Celonis Process Management (CPM).

  • Updating your visible teams: Customize which environments appear in your team selector drop-down menu. This allows power users and administrators managing multiple clients or departments to hide inactive environments and streamline their navigation.

  • Delete your membership: Use this option during offboarding or team restructuring when you no longer require access to a specific environment.

    Warning

    This immediately revokes your access to prevent orphaned accounts and maintain tight system security.

    To regain access to the team you are removing yourself from, contact your administrator.

  • Delete your account: Permanently erase your user account, including all active team memberships and associated personal data. This option is typically used to satisfy data privacy regulations (such as GDPR "Right to be Forgotten") or when permanently offboarding from the Celonis ecosystem.

    Warning

    This action is entirely irreversible and results in permanent data erasure that cannot be undone by a system administrator.

API keys allow external automation tools, third-party scripts, or custom extractors to securely communicate with your Celonis instance.
